All driving must be documented in the logbook, as mandated by law. The logbook is located in the glove compartment.

The Department's car may only be used by employees of the Department of Chemistry who possess a valid driver's license.

Driving permits may be issued to students or student associations with a legitimate need to use the vehicle. For more information, please contact the Secretariat.

Booking

The vehicle can be booked through the Outlook calendar under "Bil Aarhus CHEM Nissan Varevogn Max 9 Pers AJ49168," or by emailing the Information Office at chem@au.dk.
When booking, please provide the following details:

  • Your name
  • Phone number
  • Email address
  • Purpose of use

Rules and practical information

Before driving

  • The key is available from employees at the Information Office (room 1510-212).
  • The car has a designated parking spot in front of the Department’s main entrance (on the left, towards Langelandsgade).

During use

  • Purpose:
    The vehicle may only be used for professional purposes.
    Private errands are not permitted, and the car should not be taken home overnight for convenience the following day.
  • Fuel:
    The car uses diesel
    Research groups are responsible for paying for fuel. Please retain all receipts and settle expenses through RejsUd.
    If the Department is covering the fuel costs, the fuel card may be used, but prior approval from the Secretariat is required.
  • Roadside assistance:
    For assistance, call Falck at 70 15 55 00 (customer number: 5127 7143).
    Please inform the Secretariat upon your return if roadside assistance was used.
  • In case of Accident:
    In Denmark: Contact the police.
    Abroad: Notify both the police and the insurance company.
    After returning, submit a written report to the Head of Secretariat, Katrine Mikkelsen.
  • Speeding and parking fines/fees, etc.
    The driver is personally responsible for any speeding or parking fines.
    Fines should be paid promptly.
    Notify Katrine Mikkelsen, Head of Secretariat, about any fines incurred.

Returning the car

  • Timely return
    If the car is reserved for one day, it MUST be returned by evening to accommodate other reservations.
  • The logbook
    Ensure the logbook is completed LEGIBLY, indicating the purpose of the trip and the mileage.
  • Parking
    Return the car to its designated parking spot.
    The car must be returned with a full tank.

    Ensure the car is tidy, remove all personal belongings, and clean any spills.
  • Key and fuel card
    Return the key and fuel card (if applicable) to the Information Office or Secretariat promptly.
    ​​​​​​​If returning after working hours and the Information Office is closed, please use the mailbox outside the office to return the key and fuel card.

Insurance

  • Domestic Use: The state provides self-insurance for vehicles used within Denmark, and no additional comprehensive or liability insurance is required.
  • International Use: For trips abroad, separate insurance must be arranged with Tryg. The research group is responsible for covering the cost.
    The Secretariat will arrange the insurance. Please contact chem@au.dk well in advance of your trip with details of the trip’s duration, destination, and the relevant project/activity number.
